General

The easiest way to book with us is to fill out our Booking Request Form. To ensure the best service and response times, we are only able to take booking requests online and cannot place bookings or provide estimates over the phone.

Earlier is always better! We recommend that you contact us as soon as you're thinking about having an event. In most cases, we can place a hold on a venue while we work out the details of your potential booking.

Due to the complexity of certain types of events, some venues need to be booked further in advance than others. Please see the page for the venue you're interested in booking for more details.

Once you have submitted a booking request through the online form, please allow up to 5 business days to receive a reply. Our coordination team responds to all requests in the order they are received.

A member of our coordination team will then work with you to place a hold, discuss event details, and build an estimate before contracting. We recommend submitting a booking request two to four weeks prior to a venue's posted confirmation deadlines.

In order to fully confirm an event, we require a signed contract and deposit payment. The timeline for contracting and deposit amount varies depending on the venue, and your coordinator will be able to provide you with more details.

We want to make sure your event goes off without a hitch! If you have specific decor or equipment requests, let your coordinator know with as much advance notice as possible. We'll work out the details and provide you with options that fit your vision and your budget.

We pride ourselves on our experienced and welcoming staff, and as a matter of safety and liability we do require our ushers to be on hand for all shows in the Horowitz. Our staff are onsite to support you, and to ensure your event is a success.

Volunteers are always welcome, but must be supervised and work under the direction of HEC staff.

All renters require insurance. Please ask your insurance provider about commercial liability insurance. If you do not have an insurance provider, we suggest looking into PAL Insurance and Duuo Event Insurance. We require commercial liability insurance for a minimum amount of $2,000,000, and "The Students' Union, University of Alberta" must be named as additionally insured.

Student Groups registered with the Students’ Union are already covered by our insurance. University faculties and departments must have the Dean or Department Head sign a letter of confirmation stating that you are adequately covered for insurance purposes, and we will provide the form letter to you along with your estimate and contract. Please contact your coordinator for additonal information.

In short, yes - all clients are required to pay SOCAN and Re:Sound fees. Both are tariffs that are mandated by the Copyright Board of Canada, and each covers a different aspect of the creation and production of music.

SOCAN collects royalties from businesses and individuals who use music in various ways (e.g., streaming, radio, live performances) and distributes these royalties to its members, the people who wrote or authored the music. Re:Sound operates in the same way, but it supports the artists who played on or otherwise helped to create the music we're now enjoying.

The Horowitz Events Centre is responsible for collecting these fees and remitting them to the appropriate government agencies. If you have any questions about these tariffs, please ask your coordinator.

Cancellation policies vary based on the venue. Please contact your coordinator for information specific to your event.

We accept the following methods of payment:

  • Credit card (online or in person)
  • EFT
  • Cheque
  • Cash
  • University speedcode

In all cases, please include the BID (Booking ID) for your event when making a payment. If you have any questions, please ask your coordinator.


Catering

External catering is generally not permitted in our venues; however we do assess requests on a case-by-case basis. Please contact your coordinator for more information.

The larger the event, the earlier we require notice. For most events, catering orders should be submitted 14 days in advance, and final numbers are required 7 days in advance. Adjustments of up to 3% can be accomodated three days in advance.

We do offer food tastings for larger events and weddings. Please contact us for more information.

On-site service can be provided upon request, and additional staffing costs may apply. 

Gratuity and the catering handling fee will be included on your estimate.


Bar

No. All alcohol will be ordered by or provided by the HEC. The HEC is able to order in special liquor requests.

We can accommodate a wide variety of service styles - cash bar, host bar, and subsidized (toonie) bar. We can also offer drink tickets if you would like to pre-pay for a certain number of drinks per guest. Speak with our coordinators for more details.

No - The Horowitz Events Centre will provide ProServe certified bartenders to ensure your event is a success and follows all AGLC guidelines. We staff bartenders based on your attendance. 

This is dependant on the venue and the nature of your event. Please contact a Client Coordinator for more information.


Ticketing

If you require an accessible or wheelchair seat, please contact us directly at 780.492.4764 or tickets@horowitzevents.ca.

Every person entering the theatre must have a ticket, for safety regulations and to maintain our seating capacity. In some cases, babes in arms tickets may be available for children two and under who are held by their parent for the duration of the show. These tickets are event specific; contact us at tickets@horowitzevents.ca for more information.

Tickets to public events can be found online through our Event Calendar, which will redirect you to ShowClix.

For some shows, tickets may only be available directly through the event organizers. If you have questions about ticket availability, please contact us at tickets@horowitzevents.ca.

Online tickets that are not bought from ShowClix are third party, and the Horowitz Events Centre does not accept liability for any fraudulent tickets or their resale pricing. No refunds or admission will be granted for fraudulent tickets purchased through a third party.

Please be aware of the risks of third party ticket scalping before purchasing.

If you purchased Refund Protection while purchasing through ShowClix, please check your original purchase email on how to request a refund. The Horowitz Theatre is unable to provide refunds directly if Refund Protection is purchased. 

For tickets purchased through an event organizer, please contact them directly for refunds.

All ticket refunds and exchanges are at the discretion of the event organizer and the Horowitz Events Centre will defer to them.
